The invoice is only the beginning

Quotes and invoices: issue and chase them on your own

Issuing an invoice is rarely the problem; getting it paid is what wears you down. Without a full-time bookkeeper or dedicated software, quotes go unanswered, deposits slip through the cracks and late payments sit at the bottom of an inbox. A team of AI agents takes over the whole chain — quote, invoice, credit note, payment reminder, payment tracking — and keeps it running in month six just as on day one. Prices stay yours, and every document is shown to you before it goes out.

1. What invoicing done on the side really costs

When you work alone or with one partner, invoicing squeezes into the gaps: a Sunday evening, a break between two appointments, the drive home from a job. That cost appears on no bank statement. It shows in proposals sent that nobody followed up, in the deposit you forgot to request before starting, and in the missed due date you hesitate to mention a second time.

The usual answers each come at a price. A bookkeeper's salary is beyond a small business's budget, an accounting firm's engagement usually covers the books rather than chasing your clients, and invoicing software waits for someone to remember to open it. What is missing is not one more tool but someone who keeps track of every due date for you.

2. The whole chain, from quote to payment

  • A billing profile filled in once: company name, address, SIRET number, VAT number, IBAN, logo, payment terms and quote validity period are then printed on every document, together with the late-payment penalty notice. If your VAT status is unknown, the agent asks you rather than assuming a rate; under the small-business VAT exemption, VAT is set to zero and the legal notice appears.
  • The quote: lines with their own quantity, unit price, discount and VAT rate, an optional deposit expressed as a percentage, and a validity date calculated automatically. The reference number is assigned by the software, never typed by hand, so numbering stays continuous.
  • Preview before sending: you see the final A4 document, in one of five visual templates and in your own colours, before it leaves by email from your company mailbox.
  • From acceptance to invoice: an accepted quote becomes, in a single step, a full invoice or a deposit invoice that respects the share of each VAT rate. The quote is then marked as accepted.
  • Late payments flagged automatically: a sent invoice whose due date has passed is marked overdue with no calculation on your part, and can be chased with a courteous email restating the reference, the amount and the due date.
  • Clean cancellation: an issued invoice is never erased. The agent issues a credit note, the exact negative mirror of the original, which stays linked to it.
  • Online payment, if you want it: with Stripe, PayPal or Square connected, the agent can add a payment link created by the connector to the invoice. With Stripe, a restricted key and prior approval govern every write operation. Without a connector, the IBAN printed on the invoice is enough for a bank transfer.

3. Week 1, month 3, year 2: where the difference is made

The first document is hardly impressive: any template can produce a tidy invoice. The value shows later, when business picks up and attention gets scattered.

  • Week 1: the billing profile is completed, the first quotes are drafted from your rates, and you review each preview before it goes out.
  • Month 3: for every quote sent, the agent adds a follow-up reminder to the calendar one week later. Overdue invoices are chased according to a method you have approved — a friendly first message one week after the due date, a firmer second one two weeks later, then a suggestion that you call — and, whenever you ask, a statement lists the outstanding amounts with their days overdue.
  • Year 2: every client has a dated history of quotes, invoices, credit notes and payments, the numbering has never skipped, and reminders no longer depend on your memory at the busiest time of year.

This follow-up leaves a trail: creation, sending, reminder or conversion, every action is recorded in the activity log. At any moment you know what was done in your name, and when.

4. What stays your decision

The amounts are yours. Services, quantities, rates, discounts and the share of the deposit all come from you: the agent lays out the document and calculates the totals, but it does not decide what your work is worth and promises no commercial concession without your go-ahead.

It makes no payment, transfer or refund: money only moves through your client or through a payment connector, subject to approval. Nor does it keep your books. It posts no accounting entries, prepares no VAT returns and does not stand in for your accountant; its documents are records to pass on to the person or the software that keeps your accounts.

Finally, two practical conditions. Sending by email requires your company mailbox to be connected; without it, sending is refused with an explicit message instead of failing silently. And documents currently follow the French format: amounts in euros and French legal notices such as the SIRET number, VAT and late-payment penalties.

5. Frequently asked questions

Do I need invoicing software already?

No. Quotes, invoices and credit notes come out of the built-in invoicing engine, with their numbering and a printable document. All you need is your legal details and a mailbox to send them from.

What happens if a client disputes an amount?

An invoice that has been sent is never quietly edited. The agent prepares a credit note against the document concerned, then a corrected new invoice, which you approve before it goes out.

Can I ask for a deposit before starting?

Yes. The quote carries a deposit percentage; once accepted, it produces a deposit invoice, and the balance is then billed on a separate invoice.

Could payment reminders put my clients off?

The tone stays businesslike: “unless we are mistaken” to start with, firmer afterwards, never a threat. The penalties are already printed on the invoice, and after the second reminder the agent suggests you pick up the phone yourself.
