Connect Pipedrive to an AI agent
A sales pipeline does not become false all at once: it goes stale one day at a time. The call took place, the proposal went out, the client asked to revisit it in September — and none of that is in Pipedrive, because noting it takes two minutes you never have at the right moment. Connecting an agent does not change your sales method: it changes the fact that the record is written the same day, and that what has been asleep for forty days stops going unnoticed.
1. What a lying pipeline costs
A badly kept CRM does not cost its subscription: it costs the decisions taken from it. Three expenses come up everywhere, and none appears in the accounts.
- Forgotten deals. A proposal sent in April stays in its stage until someone remembers it. Nobody decides to abandon it; it is lost through inattention, which is a more expensive way to lose.
- False forecasts. If half the deals have not moved stage in six weeks, the total displayed is not a forecast, it is a pile. People are hired, spending is committed, a bank is reassured on that basis.
- Work done twice. What is not written down has to be reconstructed: reopening your inbox, finding the thread, remembering what was promised. It is the costliest part and the least visible.
The usual answer is to discipline the team. It works for a few weeks. The durable answer is that data entry stops being human work — this is exactly the kind of task you cannot justify paying for, and which nonetheless decides the quality of everything else.
2. What the agent does in Pipedrive
Pipedrive's official connector gives access to the objects your business actually rests on, and to nothing else.
- Read and update contacts and organisations. An address that changes, a contact who leaves, a company that merges: the record follows instead of going stale.
- Read and update deals. Moving a deal forward a stage when the event has occurred — the proposal gone out, the meeting held, the signature obtained.
- Add activities. The reminder to set, the call to make, the follow-up due on a date. This is what stops a deal from going to sleep: a deal with no planned activity is an abandoned deal that doesn't know it.
- Add notes. What was said, what was promised, the objection raised. Written the same day, not reconstructed three weeks later.
This takes on its meaning when the agent also has access to what triggers those updates: the mailbox the proposal goes out from, the calendar where the meeting is set, the payment that confirms the signature.
3. What it does not do
Better said before it is discovered, because it is what decides whether the tool suits you.
- It does not invent a deal or an amount. A deal created is created from a verifiable fact — a request received, a form filled in — and the value comes from what you wrote, never from an estimate produced by the model.
- It does not decide that a deal is lost. Marking a deal lost is a commercial judgement, and a judgement gets validated. The agent can propose it with its reason; it does not put it through alone.
- It does not replace your method. The stages of your pipeline are yours. The agent respects them; it does not reorganise them because another breakdown would be more common.
- It writes nothing without validation, until you have relaxed that. It is the starting setting, and it is deliberately annoying in the first few days.
4. The constraint specific to Pipedrive: the agent inherits an account
This is the peculiarity to understand before connecting, and it has no equivalent at most other services. Pipedrive does not grant rights to nullbot: it grants nullbot the rights of the account that authorises the connection. If you log in with the director's account, the agent sees everything the director sees — the whole team's deals, the amounts, the full history.
This is neither a flaw nor a hole: it is the way Pipedrive governs its access, and it is coherent. But it calls for a conscious decision on your part:
- Create a dedicated Pipedrive user for your agents, with the visibility you want to give them, and authorise the connection from that one. It takes five minutes once, and it settles the question for good.
- Check its rights before opening up writing, not after. A read-only agent on too broad an account is a nuisance; a writing agent on too broad an account is a problem.
- Name the pipeline concerned when connecting, which nullbot requires in any case — see the next section.
It is also what makes the trace readable on the Pipedrive side: changes appear under that user's name, so you can tell at a glance what comes from your agents and what comes from your team.
5. Connecting, and naming the pipeline
Connecting is a simple account authorisation: you log in at Pipedrive, you see what is being asked, you accept. No application to create, no key to generate, no developer account.
The scope, for its part, is named on two levels — and that is finer than with most connectors, where only the account is designated:
- The account, meaning the Pipedrive organisation concerned.
- The pipeline, meaning the precise sales track. A company that separates “New business” and “Renewals” can open only one, and the second stays invisible to the agent.
This second level is worth using seriously. It is the simplest way to start small: a single pipeline, the one where the disorder costs most, and you widen once you have seen it work.
6. What it changes over time
Connecting Pipedrive takes a minute and is worth nothing in itself. What is worth something is that keeping the file up to date no longer depends on how busy the week is.
- Week 1. Updates go through validation and you correct the vocabulary: what you call an opportunity, what counts as a qualified contact, at what moment a deal changes stage at your company.
- Month 3. No deal is left without a planned activity. It is the most prosaic and most useful change: what is asleep comes up, and you decide to follow up or to abandon — instead of deciding nothing.
- Year 2. The history is finally complete, and therefore usable. You can see how long a deal really spends in each stage, and which ones lead nowhere. That reading is impossible on a file kept one week in three.
No conversion rate is promised here: it depends on what you sell and to whom. What is guaranteed is that the pipeline tells the truth when you look at it — and that is the starting point for everything else.
7. Frequently asked questions
Do I need a particular Pipedrive plan?
The connection goes through Pipedrive's official server and follows your account's access rules. The functions available to your agents are those that account is entitled to: if a capability depends on your plan at Pipedrive, it depends on it here too.
How do I know what the agent changed?
In Pipedrive itself: every change appears in the record's history, under the name of the account you connected — all the more reason to dedicate one to it. On the nullbot side, every action is logged with its objective, its result and, where applicable, the person who validated it.
Pipedrive or HubSpot for agents?
Both connect the same way and that is not the question. The question is what you already keep: if your commercial reference is HubSpot, connect HubSpot. Having agents keep two CRMs in parallel is the surest way to end up with two that contradict each other.
What happens if I disconnect?
Access is cut immediately on both sides, and you can also revoke the authorisation from Pipedrive. Everything that has been written — records, activities, notes — stays in your account and belongs to you: nothing is withdrawn. What stops is what comes next.
